Office Administrator

The Office Administrator is an important member of the Firm’s business services leadership team. This individual is responsible for the day to day operations of the office, including office services, budgeting, business services and paralegal staffing and support, hospitality, vendor and building relationships.
The ideal candidate must have the ability to develop and nurture a culture that enables the Firm to leverage resources and continuously improve operations
The Office Administrator must be able to develop relationships across the office with partners and employees. Relationship building is a critical component to the success of this role.
The Office Administrator will report to the Chief Operating Officer and will work closely with the Firm’s Director of Office Operations, the Washington, DC office Managing Partner and other members of Firm management.
Responsibilities:
- Liaise with Property/Building Management.
- Oversee the maintenance of the office including the management of outsourced services in the areas of duplicating, mail services and building services.
- Forecast and manage the budget for all Washington office operations.
- Manage service contracts, invoicing and vendor relationships.
- Responsible for purchasing of office equipment and furniture.
- Develop and maintain office business continuity plans in coordination with all offices
- Responsible for safety and security of premises.
- Supervise business services professionals.
- Works closely with Chief Operating Officer and Director of Office Operations in NY on leasing and work place utilization and efficiencies.
Knowledge, Skills and Abilities Required:
- Bachelor’s degree
- Ability to succeed in a fast-paced environment with constantly changing priorities and deadlines
- Ability to maintain confidentiality
- Ability to effectively work individually and use critical thinking skills to solve operational issues
- Ability to prioritize and handle multiple tasks simultaneously
- Ability to work effectively in a team oriented, service environment
- Excellent analytical and organizational skills.
- Detailed-oriented and adaptable
- Excellent verbal, written, organization, computer, and interpersonal skills
In-person attendance is expected Monday through Thursday.
Previous law firm experience is preferred.
The anticipated annual base salary range for this position is $175,000 to $200,000. The actual base salary offered will depend on a variety of factors, including without limitation, the qualifications of the applicant, years of relevant experience, level of education attained, certifications or other professional licenses held, and if applicable, the location from which the applicant will be performing the job.
